Terms and Conditions.
Emma Hart Acupuncture
By booking an appointment, you agree to the following terms:
1. Booking and Payment
Appointments are confirmed once booked through my online system or directly with me. Payment is due ahead of your appointment unless otherwise agreed in advance. Payment must be made online or via card.
By making a booking through my Cliniko platform, over the phone or by email, you warrant that you agree to provide complete, correct and true information including billing and payment information.
Upon booking your appointment, you are required to complete our health consultation form as soon as you receive it. This will ensure that any reasonable adjustments can be made, and allows me to determine whether the appointment can safely and comfortably take place.
If you fail to complete my health consultation form prior to arrival, I may cancel your appointment, although I have no obligation to do so, and you may be charged in accordance with my cancellation policy. If you fail to complete the form prior to arrival, and it is then found that you have a condition that prevents you from receiving acupuncture safely or comfortably, you will still be charged the full amount for the appointment.
Emma Hart has sole discretion in determining whether an appointment can be carried out safely or comfortably, and her decision in this regard shall be final.
2. Cancellations and Missed Appointments
I kindly ask for at least 48 hours’ notice for cancellations or rescheduling. Cancellations made with less than 48 hours’ notice, or missed appointments, will be charged at the full session fee. You can find the full cancellation policy here.
If you fail to attend your appointment or are more than 15 minutes late, the appointment is considered a “no-show,” and 100% of the total appointment fee will be charged.
3. Scope of Practice
I practise acupuncture within the traditional East Asian medicine framework. I do not offer a diagnosis of Western medical conditions, and my services are not a substitute for medical care from your GP or other licensed healthcare providers. I encourage all clients to consult with their doctor regarding any medical concerns.
4. Client Responsibility
Clients are expected to provide accurate and up-to-date information regarding their health, medications, and relevant history. Please do not attend your appointment if you are under the influence of alcohol or recreational drugs, or if you have symptoms of a contagious illness. You must inform me of any allergies, pregnancy, or other health conditions that may impact your treatment.
5. Right to Decline or Discontinue Treatment
Emma Hart Acupuncture operates a zero-tolerance policy. I reserve the right to decline or discontinue treatment where it is deemed clinically inappropriate or where professional boundaries are not respected. My priority is always to ensure safe, respectful, and ethical care.
6. Changes to Terms
These terms may be updated from time to time to reflect changes in practice, regulation, or service provision. The most current version will always be available on my website.
7. Governing Law
These terms are governed by the laws of England and Wales.
8. Covid-19 and Infection Control
I remain committed to providing a safe and hygienic treatment environment. Infection control measures are in place, including regular handwashing, cleaning of the clinic space between appointments, and the use of single-use needles and clean linens.
I regularly work with people undergoing chemotherapy treatment or classed as immunocompromised so if you are unwell — particularly with symptoms of Covid-19, cold, or flu — please contact me as soon as possible to reschedule. You will not be charged for cancellations due to illness.
Thank you for helping me to keep myself and others safe.
9. Marketing
You may opt in to receive marketing communications, such as updates on services and promotions. You can opt out at any time by using the “unsubscribe” link in emails or contacting hello@emmahartacupuncture.co.uk
10. Bundle Terms & Conditions
Bundles are valid for six months from the date of purchase.
Sessions must be used by the purchaser and are non-transferable.
Bundles are non-refundable; unused sessions cannot be exchanged for cash.
Standard appointment cancellation policy applies to all sessions within a bundle.
11. Limitation of Liability
While every effort is made to provide safe and supportive care, Emma Hart cannot guarantee specific outcomes. By accessing services, you agree to participate at your own risk. Emma Hart is not liable for any injury, loss, or damage arising from services provided, except in cases of proven gross negligence.
Any complaints can be addressed by contacting me or the British Acupuncture Council.
